The Billing tab in your admin dashboard shows your plan, your SMS usage and your invoices. It’s also where you set who receives your invoices, and choose whether to pay by bank transfer or by card.
What you’re billed
- Platform fee — monthly, per branch, invoiced in advance.
- SMS — per message part, invoiced in arrears for the previous month. A longer text message is sent in two or more parts.
- Dedicated SMS number, if you have one — an annual lease, billed once a year.
- Short booking domain, if we host it for you — an annual charge, billed once a year. A short domain you redirect yourself isn’t charged. See Website Integration.
Your first month is charged pro rata from the day billing starts. Nothing is invoiced during a free trial, and text messages sent during the trial are never billed.
Prices exclude GST. Australian invoices add GST at the foot, above the total payable. New Zealand invoices carry no GST.
Invoices are issued at the start of each month and are payable within 30 days. The full terms are in clause 7 of the Service Agreement.
The Billing tab
The name and email address your invoices and billing notices go to — often a bookkeeper or a separate accounts inbox. Enter them and click Save.
- An accounts email is needed before you can pay by card.
- While a card is saved, the email can be changed but not cleared.
- When the email changes, both the old and the new address are told.
Account summary
- Plan & subscription — your plan, what it includes, the per-branch fees and your monthly subscription. During a trial, the days left are shown here.
- Dedicated virtual numbers — any dedicated SMS numbers, with their annual lease and renewal date.
- Short booking domain — shown if we host one for you, with its annual charge and renewal date.
- SMS usage — this month and last month, by feature, with the total parts and cost.
Billing Details
One row per invoice, with its reference, period, total and status. View opens it on screen and PDF downloads it.
- Paying by bank transfer: the document is titled Billing Details. It’s the full breakdown behind your invoice; the tax invoice itself is emailed to your accounts contact separately.
- Paying by card: the document is your tax invoice.
Paying by bank transfer
This is how every practice starts. Pay each invoice within 30 days of its date. Its status on the Billing tab changes to Paid once we’ve matched your payment, so a recent transfer can show as Unpaid for a few days.
Paying by card
Each invoice is charged to your card automatically, 7 days after it’s issued. There’s no fee for paying by card.
Save a card
- On the Billing tab, enter your accounts email in Accounts contact and click Save.
- In Pay by card, click Set up card.
- Enter the card on Stripe’s secure page and save it. Card details are held by Stripe, never by Your Booking.
- You’re returned to the Billing tab, where the card is shown.
If your practice requires two-factor verification for sensitive actions, you’re asked to confirm with your passkey first. A fingerprint on the button shows when you will be. See Two-factor authentication in the Setup Guide.
What happens next
- Each invoice issued while the card is saved is a tax invoice, emailed to your accounts contact. The card is charged 7 days later.
- After each payment, your accounts contact receives a Payment received email, and the Billing tab shows your last card payment.
- Invoices issued before you saved the card stay payable by bank transfer.
- On a free trial: you can save a card at any time. Nothing is charged during the trial. Your first invoice is issued when the trial ends and charged to the card 7 days later.
- Every card change is emailed to your accounts contact, naming the admin who made it.
Replace or remove the card
- Replace card saves a new card in place of the old one.
- Remove card stops card payments, and invoices from then on are payable by bank transfer. If an invoice was already issued to the card but not yet charged, we’ll contact you about paying it.
If a payment fails
Your accounts contact receives an email, and the Billing tab shows a banner saying what happened and what happens next.
- Some failures are retried automatically a week later. The banner shows the date.
- If the card can’t be used again — for example it has expired or been cancelled — click Replace card. Anything due is charged to the new card straight away.
- If the card is fine again, click Retry payment to pay now.
- You can also pay the invoice by bank transfer instead.
Multi-branch practices
Every branch has its own Billing tab.
- Each branch gets its own invoice every month. One branch’s invoice carries the first-branch fee, and each other branch’s carries the additional-branch fee. A dedicated SMS number or short booking domain shared by all branches is billed on the first-branch invoice. SMS is billed to the branch that sent it.
- Account summary shows the whole group — “Billed as part of” your business, the subscription for all branches, and SMS usage across all branches.
- Billing Details lists only this branch’s invoices.
- Each branch has its own accounts contact. It can be the same address at every branch.
One card for several branches
A card saved at one branch can also pay the invoices of other branches billed to the same ABN.
- Save a card at one branch, as above.
- On that branch’s Billing tab, under This card also pays for, turn on each branch it should pay for.
A branch can’t be turned on if it has its own card, is already paid by another branch’s card, or is billed to a different ABN. The reason is shown next to it. If an ABN is missing or wrong, contact us to correct it.
Once it’s set up:
- One charge covers all of those branches’ invoices. Each branch still gets its own tax invoice.
- A branch paid by another branch’s card shows whose card pays it on its Billing tab. Only the admin of the branch that owns the card can change this.
- A branch without its own accounts email gets its tax invoices at the card branch’s accounts email.
- To give a branch its own card, first turn it off under This card also pays for at the card branch, then save a card at that branch.
- Removing the card moves every branch it paid for back to bank transfer.
